Please Complete by April 15.

We’re excited to have you join us! But first, we need to be sure that you complete all the necessary paperwork for the trip.

STEP 1: Download PDF forms that will need to be filled out.

Just open the tab for the trip you are attending and click the links to download each PDF. Print the PDFs to complete each one, and then scan or photograph the forms to submit as digital files.

Please allow plenty of time to complete each document. There are two medical forms that will need to be completed and signed by a doctor.

Please note where signature fields are included, actual written signatures are required.

You’ll be able to upload the digital files for each of your completed PDF forms. If you are missing something, you can use the “Save & Continue Later” button. That will email you a unique link that you can use to come back and complete the web form at a later time.

Be aware that First Stamp won’t receive your information until ALL web forms below are submitted AND all PDFs are uploaded. No information will be available to First Stamp until all tasks are complete.

If your passport has not yet arrived, submit everything but Minor Consent form. After you have your passport #, the completed Minor Consent form can be sent directly to sarah@firststamp.org at a later time.

Phone Policy

First Stamp LLC aims to create an environment conducive to learning, growth, and social interaction. We recognize the importance of technology in today’s world and we also recognize the need for balance and healthy habits, especially during structured program activities.

Designated Phone Times: First Stamp participants may use their phones during designated times only, which will be communicated clearly by First Stamp trip leaders and will be primarily during time in the hotel. Outside of these times, phones must be turned off or kept on silent mode and stored securely.
Program Activities: During program activities, phones must be stored away. Participants are encouraged to engage fully in the scheduled activities without distractions.
Emergency Contact: If a participant must be contacted during program activities or other times personal phones will not be accessible, First Stamp staff contact information will be shared with participant families and may be used at any and all times to reach a participant.
Restricted Areas: Phones are not permitted in certain areas designated by the program such as during meals, group discussions and presentations and any outdoor activities where there may be a distraction or safety concern.
Social Interaction: Participants are encouraged to engage in face-to-face communication and build relationships with peers. Excessive phone usage at any time during the program will be discouraged by First Stamp trip leaders and may lead to further disciplinary action.
Content Guidelines: Participants are responsible for the content they access and share on their phones. Any use of phones for illegal, inappropriate or harmful activities will result in disciplinary action which may include the confiscation of the phone and notification of parents/guardians.
Photography and Recording: Participants must seek consent before taking photos or recording videos of others, especially in group settings. Respect for privacy and consent is paramount.
Equipment: Participants are responsible for the care and security of personal technology. Any damage, loss or theft of personal phones or any other personal technology is not the responsibility of First Stamp.
Phone Expenses: International mobile phone charges can be very expensive and if the participant does not follow First Stamp phone usage instruction, roaming fees that are incurred on individual phone plans will not be covered by First Stamp. Each First Stamp participant will be instructed on how to use phone when Wi-Fi is available (i.e. roaming charges are not incurred) and will also be provided with a SIM card when we arrive in London that can be used to make calls/text when Wi-Fi is not available. When data usage and call limits are reached on the SIM card, First Stamp will not provide additional data usage/call time and it will be the responsibility of each participant to monitor usage and utilize Wi-Fi for mobile phone use as much as possible. Please note that First Stamp trip leaders contact information will be shared with participant families and may be used at any and all times to reach a participant.

COVID-19 Protocols

Infections: If a participant should start experiencing COVID-19 symptoms, they must immediately inform First Stamp LLC trip leaders and self-isolate in their room or until staff is able to provide the participant with a COVID-19 test. If the test is positive, a quarantine plan will follow according to the most recent host nation guidance.

Should a participant test positive for COVID-19, the staff will ensure close contacts within the group self-isolate and are tested as soon as possible. Staff and trip leaders will assist those who test positive with a self-isolation/quarantine plan and a plan for obtaining medical care if needed. Positive COVID-19 cases will be required to quarantine based on the public health guidance. Close contacts of the positive participant may be required to quarantine even if vaccinated, depending on the local public health guidance.

Airlines and Travel: While traveling, participants are encouraged to follow all airline protective guidance and practice good hygiene to prevent illness (handwashing/use of hand sanitizer). Personal Protective Equipment (PPE) like masks and sanitizer will be provided by the program, if necessary.

After arrival in host countries, participants are required to follow all local guidelines and requirements as communicated by trip leaders. Specific guidance for social distancing, maskwearing, size of gatherings/indoor dining, etc. will be provided by trip leaders in compliance with local requirments.

The cost of in-program testing and/or quarantine will be covered by First Stamp.

Medical Treatment: Should infection symptoms be serious enough to require a visit to or admission to a hospital, First Stamp staff will travel to the hospital to assist with check-in, etc. The travel insurance provider will be consulted for any additional guidance. Quarantine expenses will be covered by First Stamp for all participants who may need to self-isolate.

Program Disturbances: Given the potential for periodoic outbreaks of COVID-19 around the world, First Stamp participants will be expected to behave as a local person would in the event of such circumstances (e.g. respecting local shelter-in-place restrictions). In the event that personal illness, local conditions or travel restrictions prohibit participant from departing the host country as anticipated on the standard program end date, participants are advised that First Stamp will make arrangements for the extension of housing, supervision, and insurance coverage.
